Primary goal
Executing the daily buying initiatives in a particular stock workspace (synchronization or project level) according to MSF procedures and guidelines in order to guarantee an most effective running of the purpose/ project.
Role summary
- Executing on a daily basis the buying initiatives of a stock workspace, evaluating market suppliers and attractive pricing terms among different suppliers in order to guarantee an ongoing stock of goods, following the procurement standardized processes and according to MSF guidelines and procedures. Which includes the items listed initiatives:
- Constantly evaluating the local market, looking for goods and suppliers that proposal the best value for money and discussing terms prices in order to assurance the best quality and pricing for MSF goods and products.
- Routinely updating the supplier-item-price data on the stock workspace and informing the Stock (Activity) Manager / Logistics coordinator of all information or modifications to the data i.e. price, handle, items accessible.
- At the request of the direct supervisor, acquiring different quotations from suppliers according to the MSF Buying regulatory framework and placing buy orders to pre-selected suppliers with whom prices possess been accepted.
- Requesting bills or receipts, without postponement, for all buys, checking they are correctly filled and translating information documented in local language before authorization.
- Coordinating the managerial and accounting standardized processes connected with buys: executing buy orders, checking dispatch notes (against orders), coordinating improvements issued by the Finance unit, etc. Updating information on buy lists after buys are made.
- Helping in reception regulate process with the store officer.
- Executing assigned duty according to his / her activity and as specified in his/her role summary.
- Check in suppliers to guarantee that items are fulfilled at the right time and at the right place.
- Procurement: In charge of buy management, in particular the check in of buys, project setup, together with the Direct supervisor, market evaluations, agreements and supplier reviews and information exchange with local suppliers for the status of buy orders, requests and service issues.
- Together with the Supply chain specialist assessing the buy organizing according to the incoming requests / orders, product accessibility (shortages/surpluses), dispatch times, financial plans and other applicable factors.
- Accurate submitting and archiving of the stock recordkeeping in order to assurance the accessibility and the coherence of stock data.
- Sharing information routinely on their status with the starting customers: order received, authorization stage, verification, RTS supervising, head times, and status updates challenges to his line management.
- Produce and modify the expendable/non expendable item standard lists.
Qualifications
- Education: Crucial, secondary education; business-related associated studies preferred.
- Expertise: A minimum of 2 years’ expertise in stock chain associated roles.
- Languages: Fluent English (spoken communication and documented English), Hausa, Kanuri are Crucial.
- Expertise: Crucial computer literacy (word, excel).
