Position Overview
We are looking for a meticulous and initiative-driven Recordkeeping Officer to oversee, track, and process all business and compliance-related documents connected with our marine solutions. The preferred candidate will possess background in maritime recordkeeping, robust planning abilities, and the capability to operate in a dynamic, due date-driven environment.
Primary duties
- Organize and process shipping and seaport operations documents which includes manifests, dispatch orders, clearance certifications, port licenses, and agent updates.
- Guarantee promptness entry of recordkeeping to applicable governing bodies (e.g., NPA, NIMASA, Customs, DPR, Navy) in adherence with all maritime rules.
- Coordinate with ship agents, port authorities, customs, and other participants to coordinate smooth vessel clearance and agency processes.
- Preserve precise and current recordkeeping for vessel chartering, AGO bunkering, and STS move processes.
- Assemble post-process documentation, resolve documents, and preserve proper archiving for internal audits and customer evaluate.
- Track vessel plans, cargo status, and recordkeeping timelines to avoid setbacks and ensure process effectiveness.
- Assist the processes team in recordkeeping-associated duty and convey status reports or discrepancies to the applicable departments.
- Ensure full adherence with maritime legal provisions, safety guidelines, and internal organisation rules.
Credentials & Expertise
- Bsc in Maritime Studies, Business Management, Logistics, or a relevant field.
- 2–5 years of expertise in a similar position inside the marine, petroleum sector, or logistics sector.
- Understanding with maritime processes which includes ship agency, chartering, AGO stock, and STS is highly preferred.
- Deep knowledge of harbor operations, shipping recordkeeping, and applicable compliance obligations.
- Competence in MS Workspace Suite (Word, Excel, Outlook).
- Outstanding corporate, information exchange, and people skills.
- Capability to operate under pressure and oversee various key focuses.
- Expertise in vessel chartering standardized processes, AGO stock recordkeeping, or STS processes recordkeeping.
- Understanding with port group channels and e-clearance operational structures in Nigeria.
