Job Description

Position Overview

We are looking for a meticulous and initiative-driven Recordkeeping Officer to oversee, track, and process all business and compliance-related documents connected with our marine solutions. The preferred candidate will possess background in maritime recordkeeping, robust planning abilities, and the capability to operate in a dynamic, due date-driven environment.

Primary duties

  • Organize and process shipping and seaport operations documents which includes manifests, dispatch orders, clearance certifications, port licenses, and agent updates.
  • Guarantee promptness entry of recordkeeping to applicable governing bodies (e.g., NPA, NIMASA, Customs, DPR, Navy) in adherence with all maritime rules.
  • Coordinate with ship agents, port authorities, customs, and other participants to coordinate smooth vessel clearance and agency processes.
  • Preserve precise and current recordkeeping for vessel chartering, AGO bunkering, and STS move processes.
  • Assemble post-process documentation, resolve documents, and preserve proper archiving for internal audits and customer evaluate.
  • Track vessel plans, cargo status, and recordkeeping timelines to avoid setbacks and ensure process effectiveness.
  • Assist the processes team in recordkeeping-associated duty and convey status reports or discrepancies to the applicable departments.
  • Ensure full adherence with maritime legal provisions, safety guidelines, and internal organisation rules.

Credentials & Expertise

  • Bsc in Maritime Studies, Business Management, Logistics, or a relevant field.
  • 2–5 years of expertise in a similar position inside the marine, petroleum sector, or logistics sector.
  • Understanding with maritime processes which includes ship agency, chartering, AGO stock, and STS is highly preferred.
  • Deep knowledge of harbor operations, shipping recordkeeping, and applicable compliance obligations.
  • Competence in MS Workspace Suite (Word, Excel, Outlook).
  • Outstanding corporate, information exchange, and people skills.
  • Capability to operate under pressure and oversee various key focuses.
  • Expertise in vessel chartering standardized processes, AGO stock recordkeeping, or STS processes recordkeeping.
  • Understanding with port group channels and e-clearance operational structures in Nigeria.
