Job Description

Objective of Position

Under the entire direction of the Permanent Delegate and direct oversight of the Financial administrative support Officer, the Administrative assistant/Front desk officer will assistants of the Permanent Purpose in undertaking their mandates.

Main Processes

  • Offer assistance in checking in on the initiatives of the Permanent Purpose, receiving all telephone calls and responding to them.
  • Suggest novel approaches of optimizing the work at the reception desk of the Permanent Purpose located at the workspace entrance.
  • Engage in the company of applicable sessions, congresses and professional forums with within and outside the organization participants.
  • Offer assistance in project setup of documentation, correspondence with African Group of ambassadors and address querries by email and telephone.
  • Managerial assist to the permanent purpose by phone reception, workspace procedure obligations, email reception and response to queries both by email and telephone, help in sessions company by record photocopy and allocation in addition to secretarial obligations.
  • Replacing the Bilingual Administrative assistant as need arises. 
  • Undertaking other managerial obligations as directed.

Necessary Competencies:

  • Outstanding spoken communication and professional writing competencies in English & French (Expertise in German & Dutch is a plus).
  • Outstanding people skills to operate and build connection in a diverse environment.
  • Outstanding composing and public speaking.
  • Capability to productively use workspace applications and data visual communication/evaluation resources.
  • Capability to operate across business units / geographies; cultural sensitive environment .
  • Competence in one of the AU operating languages, fluency in another AU language is a plus.

  • Trouble shooting.

Languages:

Competence in one of the AU operating languages (Arabic, English, French, Kiswahili, Portuguese, and Spanish) is compulsory and fluency in another AU language is a plus.

Tenure of Assignment

The assignment will be made on a consistent term agreement for a period of three (3) years, of which the first twelve months shall be assessed as a probationary period. Thereafter, the agreement will be for a period of two years sustainable, subject to acceptable effectiveness and outputs.

Compensation

Indicative basic remuneration of US$ 12,834.00 (GSA4 Step 1) per annum plus other associated entitlements e.g. Post modification (54% of basic remuneration), Housing benefit US$ 16,813.44 (per annum), and education stipend (100% of tuition and other education-associated expenditures for every qualified reliant up to a maximum of US$ 10,000.00 per child per annum), for internationally hired employees and a maximum of $3,300 per child per annum for locally hired employees.
