Job Description

Duties Management:

  • Read and possess a clear comprehension of the Mercy Corps Site Management Documented guide and all standardized processes.
  • Assist in running workspaces and the capability and preparedness to step in when necessary
  • Establishes and sustains suitable submitting operational structures for workspace correspondence. accept and dispatch mail.
  • Assist that the workspace is run competently and responsibly, which includes organizing guests, cleaning, front desk officer obligations, and general reach out and communication link with outside agencies.
  • Make sure that the workspace possesses sufficient workspace inventory.
  • Assist the management of workspace consumables (workspace materials like stationery, cleaning & hygiene): that will comprise of collecting requests every month, preserving the inventory, and supervising the use.
  • Make hotel booking arrangements for all travelers, both local and international, and make other applicable commute structured, which includes exchanging of greet pack and telephone with the incoming visitors.
  • Make sure all logistics structured are made and communicated to MC visitors and employees.
  • Evaluate hotel bills for those hotels with which Mercy Corps possesses an accord and organize payments.

Fleet Management:

  • Lead MC vehicles as necessary for MC business.

  • Coverage (Vehicle Coverage Agreement administration, agreement extension, and Requests)
  • Managing Vehicle Registration (New Vehicle Registration, Equipping, Tracking, Marking and Agreement extension)
  • Managing Servicing & maintenance/Servicing (Supervising routine vehicle checks, Standard procedure Vehicle Servicing,
  • Supervising Fuel Management (Fuel Top-up Card Management, Documentation on Fuel Usage, Every month Fuel Private Mileage Status updates, and Generator.
  • Log Sheet Management (Routine Supervising of vehicle Log Sheet, Evaluate of Vehicle Log Sheets, Status updates on
  • Vehicle Log Sheets Every month to finance)
  • Oversee Car Employ Solutions management (Agreement administration, Supervising of Car Employ vehicles and drivers in line with MCN Standard, Logistics Structured – Allocate Car Employ where needed, Process Payment, Servicing & maintenance of Response mechanism)
  • Fleet Recordkeeping Management: Keep documentation for all vehicles

Warehouse Management:

  • Accept goods and cross-check the quantity with the goods received notes.
  • Preserve and ensure the inventory cards and bin cards in the Warehouse are current routine.
  • Preserve and modify inventory release routine.
  • Dispatch goods from the warehouse using suitable MC standardized processes, Store Release forms, Waybills.
  • Do proper stacking of items in the warehouse to relieve the physical counting.
  • Carry out every month physical counts of the items in the warehouse.
  • Ensure the warehouse is clean and free from any infestation.

Assets Management:

  • Help the Business operations manager in coordinating, tracking, tagging assets, and consistent stock,
  • Help the Business operations manager in physical and statement matching of all assets, precise document keeping of all assets, donor assets, and exceptional items that require registration and movement tracking.
  • Help in asset Registration in the MCN workspaces.
  • Help in asset and consistent stock tagging.
  • Asset Exit: checking in/out Mercy Corps-owned tools to approved employees using the standard Mercy Corps
  • standardized processes and forms outlined in the Resource control Documented guide.
  • Asset Movement: assist in filling asset movement forms.
  • In charge of the prompt project setup of recordkeeping of any movement of assets in Mercy Corps data layouts.
  • Physical Count: assist Carry out every quarter random asset arrival processing all site workspaces,
  • Asset Tracking: preserve the inventory of Mercy Corps assets that are not checked out and in use.
  • Asset Disposal: assist by making sure all lost, impaired, sold, and stolen (or other) items are properly documented in with an authorized Disposal Assets form.

Facility Purchase:

  • Accept Real estate Selection Request/information.
  • Real estate Lease Commencement Request (PLIR)
  • Increase Real estate Selection Memo
  • Process payment
  • Managing lease agreements
  • Lease agreements agreement extension.

Power/Energy:

  • Diesel Management of generators by assisting, coordinating, and supervising diesel usage of generators, making sure no poor managing and storage, poor mechanical requirement of the generators, or overload conditions.
  • Preserve Generator Log Sheets (running data records, fix, and servicing & maintenance)
  • Preserve and track routine and documentation every month diesel and Consumables Buy Log.
  • Preserve Diesel Stock and Generator Fix/Servicing & maintenance Master Accord agreement
  • Ensure Diesel storage is allowed inside the country / regional law and ensure risk risk reduction for fuel stored against fire risk
  • Track the warranty and assurance description of generators.
  • Preserve and ensure Solar operational structures are up and running operationally and documentation any concerns to the manager.

Courier/Shipment:

  • Engage the Service supplier for dispatch Solutions.
  • Accept dispatch requests.
  • Shipment tracking.
  • Process dispatch Provider relations Payment.
  • Evaluate and track the Courier Service Vendors agreement.

Others:

Carry out himself/herself both competently and personally in such a manner as to bring credit to Mercy Corps and to not jeopardize its humanitarian purpose in Nigeria. Other obligations as allocated.

Qualifications

  • A Academic qualification in a applicable business site is wanted.
  • Three years of proven pushing expertise in an INGO.
  • One year of expertise in Stock Management, Logistics processes, or workspace management.
  • Robust planning abilities: capability to interact productively with international and national staff.
  • Computer competencies on MS Excel, MS Entry, and MS Word programs.
  • Previous expertise in fleet management.
  • Must be a local with deep understanding and understanding with the zone of intervention.
  • Fluency in both verbal and documented English is highly preferred. The capability to convey in Hausa is an added advantage.
  • A readiness to commute throughout the project zones in the allocated Zone of Duty

Responsibility:

Responsible for Mercy Corps Site Procurement Documented guide, Site Resource control Documented guide, Fleet Management and Warehouse Management Regulatory framework Standard procedures and other in-country rules and standardized processes inlogistics and procurement management as well the MC Code of carry out regarding procurement initiatives and MCConflict of Interest regulatory framework.
