Job Description

Objective of Position

To offer secretarial and clerical aid offerings to the allocated manager or Department for its efficient functioning.

Main Processes

  • Delivers prompt business assist
  • Executes business initiatives as planned and documentation.
  • Helps in the check in on logistical structured, activity execution and offering of status reports..
  • Liaises productively with within and outside the organization participants.
  • Follows up meeting decisions and correspondence results and ensure their execution.
  • Arranges standard procedure workspace information exchange and helps in organizing data and information for status updates purposes.
  • Helps in the formation, advancement and servicing & maintenance of document and retrieval operational structures
  • Follows up on offering and servicing & maintenance of workspace facilities and materials.

Specific Duties

  • Types and proof reads documents, documentation, correspondences, messages, queries, etc as may be necessary by allocated supervisors; 
  • Outlines responses to standard procedure correspondences for the signature of the supervisors; 
  • Receives guests/visitors/employees and delivers them with basic information on applicable concerns and standardized processes;
  • Sustains a proper submitting and recording system for all incoming and outgoing correspondences and documents; 
  • Responses and screens telephone calls/E-mail messages and ensures check in with supervisors and associates; 
  • Keeps an current diary of assignments for supervisors and other lead personnel of the division; 
  • Keeps tools in use in good requirement and documentation on faults for servicing & maintenance and other necessary action;
  • Delivers daily standard procedure managerial aids to various work units of the allocated Department / Division / Units 
  • Executes reception solutions where necessary
  • Executes any other applicable responsibility/duty allocated

Necessary Competencies:

  • Good computer competencies, which includes outstanding document editing, competence with e-mail and internet applications expertise in using program which includes MS Word, Excel and Power Point
  • Sound organizing and coordination abilities 
  • Good people skills
  • Clear expression capability both orally and in drafting
  • Competence in one of the AU formal operating languages (French, English, Portuguese, Arabic or Spanish) and  fluency in another AU language(s) is a plus

Competence in one of the AU operating languages (Arabic, English, French, Kiswahili, Portuguese, and Spanish) is compulsory and fluency in another AU language is a plus

Tenure Of Assignment

The assignment will be made on a consistent term agreement for a period of three (3) years, of which the first twelve months shall be assessed as a probationary period. Thereafter, the agreement will be for a period of two years sustainable, subject to acceptable effectiveness and outputs.

Compensation

Indicative basic remuneration of US$ 12,834.00 (GSA4 Step 1) per annum plus other associated entitlements e.g. Post modification (57% of basic remuneration), Housing benefit US$ 16,813.00 (per annum), and education stipend (100% of tuition and other education-associated expenditures for every qualified reliant up to a maximum of US$ 10,000.00 per child per annum), for internationally hired employees and a maximum of $3,300 per child per annum for locally hired employees.
