Position Profile

  • The Managerial Executive will offer complete managerial assist to guarantee the smooth process of the facility executive team.
  • This position includes managing workspace processes, preserving precise records, assisting procurement and vendor management, and making sure adherence with organisation rules.

Primary duties

  • Organize routine managerial and business initiatives inside the facility
  • Preserve precise records of operations and facilities, vendor agreements, service agreements, and other recordkeeping.
  • Help in getting ready documentation, memos, bills, buy orders, and correspondence.
  • Assist procurement methods by acquiring vendor quotations, lifting buy requisitions, and tracking supplies.
  • Track workspace inventory and guarantee promptness replenishment.
  • Manage planning of sessions, getting ready schedules, and documenting minutes.
  • Serve as a point of reach out for vendors, service providers, and internal teams regarding managerial matters.
  • Track and check in on service requests, work orders, and delivery schedules.
  • Supervise all power stock-associated paperwork, which includes bills and renewals
  • Coordinate with utility service vendors to prevent interruptions and assurance on-time payments.
  • Supervise routine vehicle planning, tracking, and servicing & maintenance initiatives.

  • Oversee managerial assistants and workspace service vendors (cleaning, guard, etc.).

Credentials

  • Bsc in Business Management, Logistics, Management, or relevant field.
  • At least 4 years of demonstrated expertise in logistics, fleet synchronization, workspace management, and compliance-related communication link (ideally in a facility management or similar environment).
  • Deep knowledge of local compliance obligations and statutory methods.
  • Competence in Ms office tools (Excel, Word, Outlook).
  • Outstanding documented and spoken communication abilities.
  • Expertise with facility management software or Enterprise platform planning operational structures (a desirable asset).
  • Robust meticulousness and capability to preserve precise records.
  • Outstanding corporate, information exchange, and people skills.
  • Task juggling skill, perform in high-stress situations, and deliver on time.
  • High level of discretion and competence.
